Three useful resources in one download
Seven editable message templates
Starting points for enquiry replies, missed contact, sending a quote, an agreed follow-up, closing an enquiry, confirming a booking and asking for feedback.
A blank enquiry tracker
Record an enquiry reference, source, service, quote status, agreed next action and outcome. Open the CSV in Excel, Google Sheets or another spreadsheet.
A printable action sheet
Check your offer, proof, pricing, contact route, response process and enquiry outcomes. Choose three improvements with an owner and a completion date.
The customer confidence guide
Understand why each step matters and how to make it easier for the right people to choose your business.
How to use the pack
- Download and unzip the pack. Open READ-ME.txt first. No software installation is needed.
- Choose one message that fits the situation. Replace every square-bracket placeholder and check the scope, price, timing and any terms. Do not send the templates as a fixed sequence.
- Agree the next step. Ask whether the person wants a follow-up and when. Record that agreement in your private tracker.
- Review outcomes weekly. Update open enquiries and completed work. Do not count duplicate messages as new enquiries or confuse quoted value with money received.
- Improve one part of the journey. Print the action sheet, choose three manageable fixes and review the result after a period that suits your sales cycle.
A useful follow-up sounds like a person
For someone who agreed you could check back about their quote:
Hi [name], as agreed, I am checking back about the quote for [job]. Is there anything about the scope, price or timing you would like me to clarify?
If your plans have changed or you do not want a further follow-up, just let me know and I will update my notes.
The aim is to answer a question or clarify the next step. Avoid invented urgency, repeated chasing and pressure. Sometimes the right action is to close your own record without sending another message.
Keep your customer information private
The download contains a PDF, text files and a blank CSV. There are no macros, scripts, tracking or automatic messages. These files do not send customer information to First Search Digital.
Use an enquiry reference in the tracker and keep contact details in your existing secure records. Store your completed copy privately, limit access and keep only information you need for a justified purpose and period. If you use a cloud spreadsheet service, its sharing settings and data handling also apply.
These templates are for adapting to real enquiries. Promotional messages and some follow-ups can be direct marketing, depending on their content and context. An earlier enquiry is not blanket permission for an ongoing marketing campaign. Check the ICO guidance on identifying direct marketing and electronic marketing rules before using them for marketing. Respect requests to stop.
Questions about the pack
Is it genuinely free?
Yes. You can download, use and adapt the templates for your own business without an account, subscription or email sign-up.
Does it send messages or connect to my inbox?
No. It provides editable wording and a blank tracker. You decide what to send, check it and send it through your usual system.
Can I use it on a phone?
You can read this page, open the text templates and view the PDF on a phone. Editing the tracker is generally easier on a larger screen with a spreadsheet app.
Will it increase my bookings?
No particular result is promised. The pack helps you communicate clearly and organise enquiries. Demand, pricing, suitability, delivery and other factors still affect whether somebody books.
Is this a CRM or accounting tool?
No. The tracker contains headers and blank rows, with no formulas or integrations. It is a starting point for a simple working record. Use your normal secure customer and accounting systems where needed.
Need help joining the steps together?
I can review your website and enquiry journey with you, agree the priorities and work within the budget and time available.
